Job Description

Key Responsibilities:

 

Administrative Operations:

  • Oversee the organization and coordination of office operations, procedures, and resources to facilitate organizational efficiency.
  • Ensure the maintenance of accurate records, files, and documentation.
  • Implement and monitor the use of office supplies and equipment; manage inventory and procurement processes.

Office Coordination:

  • Coordinate and oversee internal communication among departments, ensuring timely dissemination of relevant information.
  • Schedule and organize meetings, conferences, and appointments for management as needed.
  • Manage the office calendar and ensure timely follow-ups on tasks and events.

Process Improvement:

  • Identify opportunities for improving operational efficiency and propose solutions to enhance administrative processes.
  • Implement new systems and procedures for smooth administrative operations.
  • Ensure compliance with company policies, regulations, and industry best practices.

Budget and Financial Oversight:

  • Assist in managing the administrative budget, including tracking expenses and optimizing costs related to office operations.
  • Approve and track administrative expenditures, such as office supplies, travel arrangements, and service contracts.

Reporting and Documentation:

  • Prepare and submit periodic reports to management on administrative activities, office performance, and productivity.
  • Maintain and update records of employee attendance, leave, and payroll in coordination with the HR department.

Customer Service and Public Relations:

  • Ensure a professional and welcoming environment for all clients, vendors, and visitors.
  • Address any administrative queries or issues from staff or customers, ensuring timely resolution.

Experience:

  • Minimum 3-5 years of experience in an administrative or supervisory role.
  • Previous experience managing office operations and coordinating with multiple departments.

Salary

2,000 - 4,000 AED
