Job Description

Purpose of the Job:

  1. As a Sales Administrator, you will play a key role in supporting the sales team in achieving revenue targets and maintaining strong client relationships, hotel's sales and marketing efforts, ensuring smooth operations and exceptional guest experiences and you will also support the insurance sales team in their efforts to meet client needs and provide insurance solutions. Your organizational skills, coordination skills, customer service mindset, attention to detail, administrative expertise and ability to collaborate effectively will contribute to the success of the sales department and success in attracting and serving guests.

Key Activity and Tasks:

Sales Support:

  • Assist in lead generation, prospecting, and qualification of potential clients and follow-up activities.
  • Prepare and send sales proposals, quotations, and contracts to clients.
  • Collaborate with sales representatives to develop effective sales strategies.
  • Assist the hotel sales team in generating revenue through client engagement and relationship building.
  • Create and distribute sales materials, proposals, and contracts.
  • Prepare and review insurance policy documents, quotes, and proposals.

Client Interaction, Relationship Management and Client Communication:

  • Serve as a point of contact for corporate clients, to gather information, inquiries and providing corporate and insurance product information.
  • Maintain and update client databases with accurate information.
  • Act as a liaison between clients and hotel staff, addressing inquiries and special requests.
  • Maintain a record of client preferences for personalized service.
  • Maintain positive client relationships and address their needs.

Reservations and Bookings:

  • Manage guest reservations and bookings, ensuring accuracy and guest satisfaction
  • Coordinate group bookings and event reservations.

Policy Management:

  • Process insurance applications, endorsements, and renewals accurately
  • Collaborate with underwriters to ensure timely policy issuance.

Order Processing and Coordination:

  • Process customer orders, ensuring accurate and timely delivery.
  • Monitor order fulfillment and resolve any issues that arise.

Data Management, Documentation and Reporting:

  • Maintain accurate organized records of sales activities, customer interactions, bookings, policies and transactions.
  • Prepare sales reports, performance metrics and forecasts for management review.
  • Collaborate with insurance underwriters to ensure timely policy issuance.

Administrative Support:

  • Schedule sales meetings, appointments, and presentations.
  • Assist in travel arrangements and coordinate administrative tasks.
  • Handle all administrative duties including filing, documentation, and appointment scheduling.

Collaboration and Communication:

  • Foster communication between sales, marketing, and other departments.
  • Coordinate cross-functional efforts to streamline sales processes.
  • Work with insurance agents, underwriters, and clients to ensure smooth transactions.
  • Coordinate with internal teams for efficient policy processing.

Event Support

  • Assist in planning and coordinating hotel events and meetings
  • Collaborate with event planners to ensure successful execution.

Qualifications, Experience and Skills:

  • Arabic speaking personnel, Minimum 4 years of UAE experience required.
  • Bachelor's degree in business or related field preferred.
  • Proven experience in sales support or administrative roles, hotel sales, customer service, insurance sales support, and/or administration beneficial.
  • Proficiency in Microsoft Office Suite, insurance management software, reservation management software and CRM software.
  • Strong communication and organizational and interpersonal skills.
  • Detail-oriented and capable of multitasking.
  • Customer-focused mindset, Problem-solving skills, Positive and proactive attitude.
  • Ability to work under pressure and deliver exceptional customer service.
  • Understanding insurance products and industry regulations beneficial.
